User administration

Manage individual Hub accounts in your deployment.

Use user administration to give colleagues an account, help them regain access, or disable accounts that are no longer needed.

This guide applies to deployments using individual Hub passwords. It requires the deployment administrator role. Project Admin permission alone does not grant access to user administration.

Create an account#

  1. Open Users in the administration navigation.
  2. Use Add user and enter the person’s email address and name.
  3. Select the appropriate role and create the user.
  4. Share the generated password securely. It is shown once.

Ask the user to sign in and change their password from Account. Grant access to the projects they need through project invitations.

Reset access#

For someone who cannot sign in with their Hub password:

  1. Open Users and find the person’s account.
  2. Open the user actions and select Reset password.
  3. Share the new password with that person securely.

Disable an account when it should no longer be used. Review affected automation and API keys as part of removing access. Manage project access separately in Sharing and permissions.

Choose administrators carefully#

The deployment administrator role manages accounts across the installation. Use project Admin for someone who only needs to manage one project’s members and settings. Keep at least one active deployment administrator; the Hub requires one.

Other sign in methods#

For an external identity provider, manage accounts and passwords through that provider. Shared password deployments use one identity, with the same project access and recorded author for everyone. Use individual accounts when your team needs separate permissions and identifiable authors and reviewers.
